Learn about Document Management Systems with built-in OCR

Boost Your Document Management with OCR

Add Optical Character Recognition (OCR) to your document management system. Explore a document management system with built-in scanning and OCR capabilities to optimise business administration efficiency and implement digital workflows.

OCR Document Management – Built-In Tools

Document management is a crucial part of any business. But as data grows, traditional document management methods may no longer cut it. Manually sorting through and extracting key information from documents is time consuming, error prone and can miss critical details.

That’s where OCR comes in as a facilitating technology. By converting electronic, printed or handwritten text into digital data, OCR turns static documents into searchable, editable and analysable assets.

In this article, we explore how OCR improves document management and why integrating OCR into your system is a big win.

What is OCR?

OCR allows users to extract information from scanned documents and images and convert it into machine readable text. This is super useful across many industries from finance and legal to healthcare and retail. Common applications include invoice processing, identity verification, bookkeeping and automating business workflows.

OCR powered document management systems digitise and store documents securely in a central repository, making them easier to search, edit and share. Let’s get into how OCR improves document management.

When is OCR Applied?

Document Manager applies OCR to scanned documents or to documents that are already in electronic format – such as PDFs, emails and MS Office files – as they enter your business.

The aim of an all-in-one scanning OCR document system is to make structured and unstructured data interpretable and actionable immediately.

Document Capture Solutions

The ability to capture documents as they enter your business generates efficiency and productivity benefits as you gain immediate control of the information they contain. Being able to detect document content following OCR ingestion, including specified text, document fields and metadata, means that you can route documents correctly and implement automated workflows.

Systems such as Document Manager also have built-in compliance and security measures such as redaction (data masking) which enables you to hide sensitive information from all but authorised personnel.

How OCR Improves Document Management

A scanning OCR document system – that is, OCR integration – improves document management in many ways:

1. Cost Savings

By digitising documents businesses can reduce costs on paper, ink and physical storage which reduces consumables and operational costs

2. Flexibility and Customisation

Digitised documents can be edited, copied and formatted without limits which means more flexibility in document handling.

3. Time Savings

Employees no longer need to retype or extract data from documents manually. Eliminating humble admin tasks frees up time for more strategic work.

4. Document Usability

OCR converts documents into structured formats like JSON, TXT, XMLor CSV which makes searching and retrieving seamless and fast.

5. Fraud Prevention

OCR can detect anomalies in scanned documents using image and metadata analysis to add an extra layer of security against document fraud.

By using OCR businesses can increase efficiency, accuracy and security in their document management systems.

Choosing the Right OCR Document Management Solution

With many OCR solutions out there, choosing the right one depends on key features that ensure seamless integration and functionality:

A. High Extraction Accuracy

Advanced AI driven OCR solutions improve data capture accuracy over time. It is also worth exploring scanner types to explore which offer

B. Batch Processing

Ability to process multiple documents at once using Batch Capture boosts workflow efficiency.

C. High Speed Processing

Fast OCR engines allow for quick data extraction and document conversion.

D. Multiple Output Formats

A versatile OCR tool supports multiple formats like JSON, XML and CSV for smooth document handling.

Seamless Document Scanning Integration

Document Manager’s scan-to-document software is integral. You will not require additional software for document scanning or additional scanning programs. Document Manager is a complete document scanning solution that you can use many popular printers and scanners.

Our advanced OCR solution integrates with your existing systems through APIs and SDKs so businesses so you can upgrade your document management workflows easily.

Document Management with AI-Powered OCR

A great example of an advanced OCR solution is Document Logistix’ Document Manager. This AI powered software boosts document automation with:

  • Up to 99% data capture accuracy
  • Seamless document conversion to multiple formats
  • Automated document classification for better organisation
  • Built in fraud detection for enhanced security
  • Easy integration via API and SDK for a smooth implementation
  • With its robust features Document Manager’s OCR helps businesses move to a paperless environment while ensuring accuracy, efficiency and compliance to data privacy regulations like GDPR.

Document Archiving System

Your document handling system will be greatly enhanced by OCR capabilities. Whether you use a cloud document management system or on-premises, document archiving management will be simpler and more secure.

For, example, following OCR and indexing, you can automatically assign retention periods to documents so that they are retained for mandated periods and deleted in compliance with regulatory requirements when they ‘expire’.

Your virtual filing system will maintain structured folders, files and documents until they reach a retention threshold at which time you will be alerted by a purge request.

The Future of OCR Document Management

As businesses go digital OCR will continue to play a big role in document automation. Whether it’s improving searchability, reducing manual labour or fraud detection OCR is an essential part of smarter document management systems.

Invest in a reliable OCR solution and transform how your business handles information so valuable data is available, secure and easy to manage. By integrating OCR into your document management, you’ll unlock new levels of productivity and efficiency for your organisation.

How does OCR work?

Optical character recognition software works as follows:

Document Scanner

The first stage in digitising is to carry out OCR scans. The light sections of the scanned dpcuments are treated as backgrounds by the OCR software, while the dark areas are treated as text.

OCR Preprocessing

The OCR software cleans the images first by deskewing or tilting the scanned documents to correct any detected alignment problems, and despeckling or removing any digital image spots.

Recognising Text and Words

The scans are then processed by OCR software, which recognises alphabetic letters or numeric digits from printed text and handwritten text.

Optical Word Recognition (OWR) captures text, one complete word at a time, while Intelligent character recognition (ICR) identifies handwritten or cursive writing by recognising one glyph or character at a time. ICR accuracy can be improved by machine learning over time.

Postprocessing

The OCR system transforms unstructured data into searchable and editable information for further processing such as routing, document workflows and storage.
